Refund Policy Content
The following terms define how BuildXaite evaluates refund requests across subscriptions, usage-based services, and project-based engagements.
1. General Refund Policy
BuildXaite aims to maintain fair, transparent billing practices across all plans and services. Refund decisions are assessed using the terms active at the time of purchase, the service configuration involved, and any documented agreement in place between BuildXaite and the customer.
Unless a specific offer, agreement, or legal requirement states otherwise, payments are generally treated as final once access to the purchased product or service has been provisioned. Submitting a request does not automatically guarantee a refund.
2. Subscription Payments
Subscription charges apply according to the selected billing cycle and are billed in advance unless explicitly stated otherwise in your order form, invoice, or service terms. Charges may include applicable taxes, processing fees, and region-specific mandatory levies where required.
Subscription payment disputes should be reported promptly so account-level logs, invoice records, and gateway confirmations can be reviewed while transaction details are current and verifiable.
3. Monthly Subscriptions
Monthly plans are typically billed every month on or near the original billing date. Eligibility for refund consideration may depend on whether service access has started, whether usage has occurred, and whether cancellation timing falls within any documented exception criteria.

4. Annual Subscriptions
Annual plans may include discounted pricing compared with monthly billing and are generally treated as a committed billing period. Any refund review may account for consumed service value, delivered account benefits, and discounts applied at purchase.

5. Free Trials
Where offered, free trials are intended to help evaluate platform fit before paid billing begins. Customers are responsible for reviewing trial terms, including end dates, feature limits, and billing transition details, before trial expiration.

6. Subscription Cancellation
Cancellation and refund are not the same. Cancellation stops future renewal billing from the next eligible cycle, while refund requests concern previously charged payments and are reviewed against this policy and applicable terms.
If cancellation is completed after a renewal charge has been processed, the account may remain active for the prepaid period, and refund treatment of that charge will depend on the review criteria described below.
7. Automatic Renewals
Certain plans renew automatically to avoid service interruption. By maintaining an active subscription, you authorize recurring billing based on the selected plan cadence unless canceled prior to the renewal processing time.
Customers are encouraged to manage billing preferences in advance of renewal dates. Invoices, billing notices, and account activity records may be used when reviewing renewal-related refund requests.
8. When a Refund May Be Considered
BuildXaite may evaluate refund requests in situations such as:
- Duplicate billing caused by a verified payment processing error.
- Charges applied contrary to a written and active billing agreement.
- Material service access issues directly attributable to BuildXaite that prevented reasonable use during the billed period.
- Cases where applicable law or mandated consumer protections require refund accommodation.
Final decisions depend on account history, payment verification, usage data, and applicable contractual terms.
9. Non-Refundable Situations
Refund requests are generally not approved for circumstances including, but not limited to:
- Change of mind after purchase where service access has already been provided.
- Failure to cancel prior to a valid renewal date.
- Partial use of prepaid access periods unless otherwise required by law or written agreement.
- Outcomes dependent on customer configuration choices, usage strategy, or external systems not controlled by BuildXaite.
These conditions are subject to applicable consumer protection laws and any specific written agreement with the customer.
10. AI & Usage-Based Services
Some BuildXaite services may be priced based on consumption metrics such as API calls, compute activity, generation volume, storage, or other measurable usage units. Once usage has occurred, related charges may be non-refundable except where a verifiable billing error is confirmed.
Customers are responsible for monitoring consumption where tools are provided. Requesting a refund due to higher-than-expected usage does not automatically establish eligibility.
11. Third-Party Services & Charges
If your solution includes third-party software, APIs, cloud resources, or vendor-delivered services, those costs may be governed by the third party’s own billing and refund policies. BuildXaite cannot guarantee refunds for amounts controlled externally.
Where feasible, BuildXaite may assist in coordinating issue investigations, but approval decisions for externally billed components remain with the respective provider unless otherwise stated in a written agreement.
12. Custom Development, Setup & Professional Services
Custom implementation work, advisory scopes, onboarding packages, and setup engagements are typically scheduled and staffed in advance. Refund treatment may depend on project stage, work delivered, and any signed service statement.

13. Domain, Hosting & External Purchases
Domain registrations, SSL certificates, hosting components, and similar externally fulfilled purchases may be non-refundable once ordered, activated, provisioned, or transferred. Availability and refundability of such items vary by provider rules.
Customers should confirm external purchase terms before authorization. BuildXaite may pass through provider terms where required to deliver your selected services.
14. Discounts, Promotions & Special Offers
Promotional pricing, credits, and discounted campaigns may include specific eligibility limitations, validity windows, or non-combinable conditions. If a purchase was made under a special offer, refund review may account for those campaign rules.
Where a refund is approved for discounted purchases, refunded amounts may reflect the effective billed value and any non-refundable components tied to redeemed benefits.

16. Refund Processing
Approved refunds are generally initiated within [X BUSINESS DAYS].
Processing timelines can vary based on the originating payment method, transaction channel, and financial institution procedures outside BuildXaite’s direct control.
17. Payment Gateway & Bank Processing
Once a refund is initiated by BuildXaite, final settlement speed is managed by payment gateways, card networks, and banks. Posting delays may occur due to reconciliation cycles or institution-specific processing timelines.
Any fees retained by external processors, intermediary charges, or currency conversion effects may influence final reflected amounts where permitted by law and service terms.
18. Chargebacks & Payment Disputes
If you believe a payment was made incorrectly, please contact our support team first so we can investigate and attempt to resolve the issue.
Chargebacks initiated before direct support review may delay account resolution and can require BuildXaite to provide payment evidence, account logs, and service records to the financial institution handling the dispute.
19. Account Suspension or Termination
Refund eligibility may be limited or unavailable when an account is suspended or terminated due to policy violations, misuse, fraud indicators, abuse, or material breach of platform terms.
If suspension occurred in error, customers may contact support for review. Any billing corrections are handled based on verification outcomes and applicable contractual obligations.
20. Service Interruptions
Temporary interruptions may occur due to maintenance, platform upgrades, third-party outages, or force majeure circumstances. Not all interruptions create automatic refund eligibility.
Where appropriate, BuildXaite may evaluate service credits, billing adjustments, or other remedies according to incident scope, service terms, and any SLA commitments formally applicable to your account.
21. Plan Downgrades
Downgrades generally apply to future billing cycles unless a specific immediate adjustment process is documented. Current cycle charges are usually not prorated for downgrade requests submitted after cycle start.
Feature access and capacity limits may adjust at the downgrade effective date, and customers are responsible for verifying compatibility before changing plan tiers.
22. Plan Upgrades
Upgrades may trigger immediate billing adjustments and activation of expanded capabilities. Any additional charges linked to upgrade activation are generally treated according to the upgraded plan terms.
If an upgrade was processed incorrectly, please contact support promptly with invoice and transaction references for review and potential correction.
23. Refund Abuse
BuildXaite reserves the right to deny requests that indicate misuse of refund channels, repeated pattern abuse, policy circumvention, or manipulative purchasing behavior intended to gain unpaid platform benefit.
Abuse prevention measures are applied carefully and proportionately to protect legitimate customers while preserving service integrity and payment security.
24. Consumer Rights
Nothing in this Refund Policy is intended to exclude, restrict, or override any refund, cancellation, or consumer rights that cannot lawfully be excluded under applicable law.
Where legal rights differ by jurisdiction, BuildXaite will interpret and apply this policy in a manner consistent with mandatory local consumer protections.
25. Changes to This Refund Policy
BuildXaite may update this Refund Policy from time to time to reflect product changes, legal developments, billing process improvements, or operational requirements.
Updated versions become effective upon publication unless otherwise stated. Customers are encouraged to review this page periodically for the latest policy terms.
